Mix & Mingle Agreement/Guidelines

The Greater Beaumont Chamber of Commerce Mix & Mingles are a great way to promote, educate and build relationships with other business partners. The Chamber member hosts a reception/mixer, where Chamber members and guests have an opportunity to meet one another, exchange business cards and familiarize themselves with the host’s business.

Two time slots are available see below:

Morning 7:30 - 9:30 AM
Afternoon 4:30 - 6:30 PM

THE SPONSOR RESPONSIBILITIES:

Invitations are the responsibility of the sponsor. If invitations are made, they must include our name (Greater Beaumont Chamber of Commerce) and a copy must be submitted to the Chamber for approval PRIOR to distribution.

It is beneficial for the sponsor to send invitations to customers, prospective customers, vendors and friends. The more the sponsor promotes the event, the better the attendance will be and the more exposure the sponsor will receive.

REFRESHMENTS

Morning Chamber Mix & Mingle - Hours of 7:30 – 9:30 am

1. Food – Breakfast type food are furnished by sponsor

2. Drink - coffee, milk, juice or soft drinks are furnished by sponsor


Afternoon Chamber Mix & Mingle - Hours of 4:30pm – 6:30pm

1. Complimentary hors d’oeuvres and beverages are furnished by the sponsor. Call the Chamber office for suggestions regarding quality and quantity of refreshments.

2. If complimentary alcoholic beverages are served, complimentary soft drinks must also be served.

3. Texas law permits the sponsor three options if serving alcohol:

a. Mixed drinks, as well as beer and wine may be served at the sponsor’s expense or

b. Mixed drinks, beer and wine may be served on a cash basis, if the function is held at a hotel, restaurant or other location holding the appropriate permit from the Texas Alcohol Beverage Commission, (Chamber staff or ambassadors are not allowed to sell drink tickets), or

c. Mixed drinks, beer and wine may be served on a cash basis at the sponsor’s location provided the sponsor acquires a temporary permit from the Texas Alcohol Beverage Commission. In that event, any money received beyond the cost of serving the drinks must be donated to an approved charitable organization. A temporary license for mixed drinks cost $251, for beer and wine, $231. Application may be made through the Weaver License Service for a fee of $35. Application must be made at least 45 days before the event. Some caterers, if they provide the food, are licensed also to serve alcoholic beverages. It is the responsibility of the sponsor to clarify with the caterer whether they are licensed to serve alcoholic beverages.


4. Sponsors must observe the following rules regarding alcoholic beverages:

a. Anyone that consumes alcoholic beverages must be at least 21 years old.

b. The bar must be closed promptly at 6:30 PM

c. Bartenders must be instructed not to serve alcoholic beverages to individuals who have had too much to drink.

d. Bartenders must be instructed to measure the amount of liquor in a mixed drink and not to serve drinks that are too strong.

e. Non-alcoholic drinks must be available for guests.

f. Guests who have had too much to drink must not be allowed to drive. Please make arrangements for someone to drive or call a taxi.


LOCATION
The sponsor is responsible for providing a location large enough to accommodate up to 100 people. (The location must be an active member location in the Chamber Directory.)

REGISTRATION
A registration table should be placed near the entrance with 2 chairs.

DOOR PRIZES
A minimum of 2 door prizes supplied by the host are required. This can be merchandise from the place of business, a gift certificate etc. Other Chamber members may donate door prizes as well if they want to. The chamber will provide door prize tickets to be handed out as guest arrive.

PRESENTATION
A member selected by the Communications Division will speak about one of the Chamber’s divisions that may pertain to the host’s type of business. They will also inform the guest on what the Chamber is doing for the area and inform them about our Chamber 101 slideshow (Displayed on a TV during the event).
The sponsor will be recognized and given time to speak about his/her business, introduce company officials and employees and will participate in the door prize drawing.

THE CHAMBER RESPONSIBILITIES:
Staff for registration and coordination.
Promote your event via social media, newsletter, Chamber’s online calendar and other publications
The Chamber staff will provide assistance for the door prize drawing.
Provide a list of Chamber caterers upon request.
Will email a copy of the attendee list for contact purposes.
